These Terms and Conditions (“Terms”) govern your use of guardiandentalbilling.com, related scheduling and communication services, and any professional dental billing, revenue cycle management, insurance verification, credentialing, marketing, or administrative services provided by Guardian Dental Billing LLC (“Guardian Dental Billing,” “Company,” “we,” “us,” or “our”).
By accessing our website, submitting a form, scheduling a consultation, or engaging our services, you agree to these Terms. A separately executed service agreement, Business Associate Agreement, order form, or statement of work may contain additional terms. If a signed agreement conflicts with these website Terms, the signed agreement controls for the applicable services.
1. Services
Guardian Dental Billing provides business and administrative services that may include dental insurance verification, benefit breakdowns, claim submission and follow-up, payment posting, accounts receivable management, denial support, provider credentialing, revenue cycle management, digital marketing, and related consulting. The exact scope, pricing, service levels, and responsibilities are defined in the applicable written proposal or service agreement.
2. Client Responsibilities
Clients are responsible for providing complete, accurate, lawful, and timely information; maintaining appropriate clinical and business records; obtaining any required patient or third-party authorizations; reviewing work product and account activity; and providing the system access reasonably required to perform contracted services. Clients remain responsible for clinical decisions, coding supported by their documentation, and compliance obligations that cannot lawfully be delegated.
3. Fees and Payment
Fees, billing schedules, payment due dates, permitted expenses, and any late-payment terms are stated in the applicable signed service agreement, proposal, invoice, or order form. If no separate payment term is stated, payment is due upon receipt of the invoice. Any interest or collection charge will not exceed the amount permitted by applicable law.
4. HIPAA, Privacy, and Confidentiality
When Guardian Dental Billing acts as a business associate under the Health Insurance Portability and Accountability Act (“HIPAA”), the parties will execute an appropriate Business Associate Agreement before protected health information is exchanged. Each party must use reasonable administrative, physical, and technical safeguards and may use confidential information only for authorized purposes.
Our handling of website, contact, and communication information is also governed by our Privacy Policy. Do not submit protected health information, full payment-card information, passwords, or other sensitive clinical information through ordinary website forms, email, or SMS unless we have expressly provided an approved secure method.
5. Website Use
You may use this website only for lawful purposes. You may not attempt to gain unauthorized access, disrupt the website or connected services, introduce malicious code, scrape restricted information, misrepresent your identity, or use website content in a way that infringes another party’s rights. Website content is provided for general business information and is not legal, tax, medical, or clinical advice.
6. Intellectual Property
Unless otherwise stated, Guardian Dental Billing owns or licenses the website design, branding, text, graphics, and other website content. You may not reproduce, distribute, or commercially exploit that content without prior written permission, except for ordinary viewing and use of our services.

8. SMS Messaging Terms

Messages may include responses to your inquiry, consultation scheduling and reminders, requested follow-ups, customer support, and service-related updates. - Consent: SMS consent is optional and is not a condition of purchasing or receiving any service. Please do not provide a number you are not authorized to use.
- Frequency: Message frequency varies according to your inquiries, appointments, and relationship with us.
- Charges: Message and data rates may apply under your wireless plan.
- Opt out: Reply STOP to unsubscribe. You may receive one final confirmation message. After opting out, we will not send further program messages unless you opt in again, although we may contact you through another lawful channel.

9. Disclaimers
Except as expressly stated in a signed agreement, the website and its content are provided “as is” and “as available.” We do not guarantee uninterrupted website availability or a particular financial, reimbursement, collection, credentialing, marketing, or claim outcome. Results depend on factors including client data, documentation, payer rules, third-party systems, and timely cooperation.
10. Limitation of Liability
To the fullest extent permitted by law, Guardian Dental Billing will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from website use or services. Any additional limitation, allocation of risk, or remedy in a signed service agreement remains in effect.
11. Termination
Either party may terminate services according to the applicable signed agreement. We may restrict website access for unlawful, abusive, fraudulent, or security-threatening activity. Following termination, confidential information and protected health information will be retained, returned, or destroyed as required by applicable law and any Business Associate Agreement.
12. Governing Law
These Terms are governed by the laws of the State of Wyoming, without regard to conflict-of-law principles, except where federal law or another mandatory law applies. Venue for disputes not governed by a separate signed agreement will lie in a court of competent jurisdiction serving Sheridan County, Wyoming.
13. Changes to These Terms
We may update these Terms as our services or legal requirements change. The updated Effective Date will appear above. Material changes will apply prospectively unless applicable law requires otherwise.
